How Do Reservations Work?

Please fill out a Google Form for each attendee, regardless of age.  The payment details will be included in the response you receive.

Please note the *only* way to secure your spot is by paying the reservation fee.  Spots are *not* assigned based on how quickly you reserve, but only on when payment is received.  If you are paying from the UK or outside of Europe we recommend checking if paying via Wise (formerly TransferWise) at wise.com offers better rates than your bank.  It is not possible to pay via PayPal, or by cash at the gate.

Accommodations and Small Bedrooms Reservation Policy

The site has two downstairs dorm rooms with 32 and 36 beds in bunk beds.  Upstairs there are 22 single beds in another room, and we also have 9 beds in 3 bedrooms that will be offered at a higher price (90 euros for the weekend, regardless of age.)

We have offered the small bedrooms in various ways in the past, including most recently an offer upgrade emailed to all attendees, and the rooms were given based on who responded first.

This time we are trying something different- in order to attempt to offer the beds in the small bedrooms as fairly as possible, there will be a question in the reservation form asking if you are interested in upgrading to a spot in one of the smaller bedrooms. If so, we will ask your reason for requesting this (illness/medical needs, any other reason you have, even if it’s only “We would like to be in a smaller room”) so we can attempt to offer the beds based on need.

We understand that sensitive medical data may be provided as part of the reason for asking and therefore confirm that the only people who will have access to this data are Mistress Mariken and Maestra Victoria.

Please note that *all* of these beds are upstairs, so if you are unable to climb stairs we will unfortunately not be able to offer you a spot in one of these bedrooms.

In order to allow time for people who do not receive a spot in one of these bedrooms to make alternative accommodation arrangements if they wish, we will only offer these rooms for 2 weeks, so please ensure you reserve no later than Thursday 6 June 2024 if you are interested.  Any reservations made after that date will not be allowed to request one of these rooms, and if any become available we will offer them to everyone who expressed interest in them in order of when they reserved.

We expect that these beds will be extremely popular, and we ask for your patience and understanding as we only have a few to offer.  We have also listed offsite accommodation options at https://crown.polderslot.info/index.php/about/  

Cancellations/Refunds

Please see below the refund/cancellation policy:

  • 100% refund will be made if cancellation is received by 18 September 2024
  • 50% refund will be made if cancellation is received between 19 September and 3 October 2024
  • No refunds will be made if cancellation is received on 4 October 2024 or later
  • Refunds will be given if cancellation is due to illness of attendee or child/someone they need to care for, regardless of timeline above
  • The event stewards reserve the right to make exceptions to the above policy at their discretion
